Adding and Updating Instruments


Viewing and Editing a particular Instrument’s Details


Click on an instrument to view further details on that instrument. A pop up screen will appear titled “Instrument Details”, which has 3 tabs: General, Hire Info, and Service Info.All the information can be both viewed and edited.


If you edit information on the Instrument Details pop up screen, remember to click Save before you leave the screen.


Adding an Instrument to the List


To add an instrument to the list of instruments currently displayed, click Add Instruments at the bottom of the page.


A pop up screen will appear titled “Instrument Details”, which has 3 tabs: General, Hire Info and Service Info. Complete all the information relevant to the instrument and click Save.


Note: You may not move onto the Hire Info and Service Info tabs until you have completed the General tab.


General Tab

General information includes details such as instrument type, manufacturer, model and serial number etc. There is the option of a serial number and a school Id which can be used to identify the instrument.


You also use this tab to change the current status of the instrument within the program (select from drop down list. eg available, retured, for sale, in service etc) and to indicate if there is someone waiting to hire this instrument (type name in “Reserved for” field).


If you would like the instrument to be allowed to be hired out, click the Hireable option.


If you would like to mark the instrument as needing a service, click the Needs Service option.


Hire Info Tab

The hire information tab displays both current and historical information on the hiring activity relating to the instrument. Use this tab also to activate a new hire to a student and to return the instrument back form hire by the student.


If the instrument is currently on hire, when you access the Hire Info tab, the first panel you will see shows you all the information about the current hire, as follows:


If the instrument is NOT currently on hire, instead of the screen above you will see the following in the first panel when you access the Hire Info tab:

Service Info Tab

The service information tab displays both current and historical information on the servicing activity relating to the instrument. Use this tab also to activate a new service and to return the instrument from service.
