Managing the Servicing of an Instrument

To view all instruments that are currently in-service, go to the Instruments menu option and select the 'In-Service Instruments' option. This will show you a list of all instruments currently marked as being serviced.



Viewing an Individual Instrument's Service Information


To view the current service information and service history of an instrument, select the instrument from the instrument list and go to the last tab Service Info.

If the instrument is currently out to service , when you access the Service Info tab, the first panel you will see shows you all the information about the current service with a button 'Return from Service" below the information block as follows:


If the instrument is not in service, the company details will be blank and a "Send to Service" button will be displayed below the information block.



Sending an Instrument to Service

To send an instrument to service, select the company from the drop-down list of companies. If the company do the service is not on the list, you can click the 'Add Company' button to add the new company to your list of servicing companies.


Select the date the instrument is being sent and any relevant comments and click 'Send for Service'.


The instrument will now have a status of In Service and will appear on the 'In-Service Instruments' list.



Bulk Sending Instruments to Service

You can use the Send to Service option on the All Instruments list if you need to send multiple instruments to the same service company at the same time by following the following steps:


Go to the instrument list on the All Instrument menu option. Review the list of instruments you selected through your searching/filtering action. To exclude certain instruments should you wish, uncheck the box on the left hand side of the instrument name.

Once you are satisfied with you list click on the Send to Service button.

 

A pop-up screen appears for you to specify the service provider and the service date for the bulk service.

 

Should you wish to add a service provider that does not currently appear on the drop down list, then click on the Add Store button. A second pop up screen will appear to enable you to add all the details of the new service provider. Once you have saved this screen, the name of the new service provider can be selected from the “Company” drop down list

 

Once you have finished filling in the information for the bulk service, click Save. The details of each instrument sent for bulk service will now appear on the In-Service Instruments screen.



Returning an Instrument to Service

To return an instrument from service, click on the Return From Service button at the bottom of the instrument information block. This will pop-up a screen that you can enter the return date, the cost of the service and any comments related to the service. Click the 'Return from Service' button and the instrument will no longer show any company information and there will be a new service history record showing below the information block with the latest service.

 

The instrument will now have a status will be in the status that it was prior to being sent for service, so if it was marked as Available prior  to the service, it will be back to that status. If the instrument was in Hired status prior to the service, it will be returned to that status.



Managing the Service History

The records in the service history block can be updated by clicking on the record in the table.

Clicking on the date will allow you to update the date

Clicking on the cost will allow  you to update the cost

Clicking on the comment will allow you to update the comment


You can also delete a service record by click on the record and clicking the Delete button.
